Audit and Remove Outdated Web/ Digital Content and Forms
Fall semester marks Phase 1 of our Roadmap to Accessibility: auditing your website(s) and online PDFs and removing outdated, redundant or unnecessary content before the April 26, 2027 ADA Title II compliance deadline. This phase runs August through November 2026 and now is the time to get started.
Why This Matters
Please review and remove outdated or unnecessary content from Drupal, SharePoint, and Teams. Old forms, agendas, minutes and PDFs can confuse visitors and create more accessibility work later. Remember, the new accessibility standards apply to internal communications and content, as well as public-facing websites.
How to Do It
▶️ Watch a demonstration: Siteimprove audit tutorial video (CC) [5:04]
Tool: Siteimprove → Quality Assurance module → Inventory tool
- Identify and remove, update or archive out-of-date content. Link to a “single source of truth” whenever possible rather than maintaining duplicate information that can become outdated or conflicting. Before removing Brown Act agendas, minutes, or other legally required public records, check the FAQ page to understand the exceptions to the new Title II rules.
- Check for incoming links before removing or renaming anything. In Siteimprove: Inventory → Pages → Referring Pages.
- Notify other departments if their pages link to content you're removing or renaming, so they can update their links. Contact the Web Team if you are not fully confident in this process.
This Month's Call to Action: Clean House
- Log into Siteimprove and review the Inventory of pages and PDFs for your site(s).
- Set aside time over the next 30 days to review, archive, and delete the same kind of outdated material in any SharePoint/Teams folders that you manage.
- If you're unsure whether something qualifies as an exception, check the Accessibility site’s FAQ first, or reach out to the Accessibility Coordinator for help — don't guess.
